Backup Delivery Details Inside the Shipping Carton

Decide how the shipment remains identifiable if its outside paperwork becomes separated from the carton. An internal sender-and-recipient reference performs a different role from the carrier's exterior shipping label or an outside packing-list pouch. Include that reference in the packing instruction before the carton is closed.

Give the inside reference a defined role

FedEx's general packaging guidance recommends sender and recipient details both inside and outside the package. The internal copy is a backup identification aid; it does not replace the service's required exterior label or promise recovery after damage.

For a hypothetical order S26, prepare the internal details from the same current shipment record used for dispatch. Include the sender, intended recipient and an order or carton reference appropriate to the operation. An old packing slip with a former address can introduce a competing destination even when it belongs to the same customer.

Choose a paper envelope from the document arrangement

EN1020 is a 9 x 6 inch, 28-pound kraft gummed envelope supplied as 2,500 per case. EN1022 is a 9 x 12 inch, 28-pound kraft gummed envelope supplied as 1,000 per case. These are two paper-envelope purchasing formats. Their nominal dimensions are not a verified clear opening or a promise that a particular unfolded document will fit.

Prepare the actual reference sheet, including any intended folds, and check a sample envelope. Decide whether the internal record needs its own envelope or can accompany the approved inner paperwork arrangement. Preserve the reference where the recipient can locate it during normal unpacking, without changing the protection or restraint of the contents.

Keep the outside pouch decision separate

PL100 is a 10 x 12 inch clear, 2-mil self-adhesive packing-list envelope, supplied as 500 per case. It is a different product format from the kraft paper envelopes above. Choosing a clear outside document pouch does not, by itself, place any reference inside the carton.

Three different identification locations
Location Assigned purpose
Exterior carrier label Current carrier-generated shipment identification
Exterior document pouch Paperwork needed through the chosen receiving process
Inside carton Backup sender, recipient and package reference

Check the reference before final closure

At the closing step, compare the internal reference with the actual carton and current destination. If the order is split, associate the reference with the correct resulting package. Retire superseded paperwork through the operation's normal process. The packing-list envelope guide helps compare document-holder formats after these locations and their roles are established.
