Pre-Numbered Inspection Tags and Duplicate Ranges

A preprinted number is unique only within the numbering scope your process establishes. If two supplies contain the same printed range, the number alone cannot distinguish a tag from one supply from the matching number in the other.

Check the delivered numbering before assigning tags. Keep the tag's printed number separate from any batch, site or job context needed to identify its record.

Read the range on the exact product

G21011 blue inspection tags are described as pre-numbered 000–499, supplied as 500 tags per case. They are listed at 4¾ × 2⅜ inches, made from 13-point cardstock with reinforced eyelets, and described for string or wire attachment.

The published range identifies this product's numbering specification. It does not establish a globally unique sequence across all purchases, sites or years. Confirm the numbering on the supplies that will be used together.

Show the repeated-number problem

Suppose, in a hypothetical operation, two delivered supplies both include tag 017. The team assigns them distinct supply references A and B before use.

Searching only for 017 returns two possible records. Including the approved supply context distinguishes them. The example codes are illustrative; use a context that remains unique and meaningful in the actual system.

Keep the context available with the physical tag

A database field does not help the next operator if the physical tag provides no way to find the right entry. Decide how the approved context accompanies the tag and how it is read during the handoff. Trial the chosen marking or associated-document method rather than assuming unused fields are printed on the tag.

If tags are distributed between work areas, preserve the assignment record. Moving a handful to another bench should not silently change the meaning of their supply reference or create duplicate assignments.

Handle replacements explicitly

In a hypothetical correction, a damaged tag is replaced while the underlying item remains the same. Record the relationship using the operation's replacement method and retire the obsolete active reference. Do not create two apparent items merely because two tag numbers have been used.

Pre-numbering supplies identifiers; it does not prove that an inspection occurred or that every identifier was assigned correctly. Keep inspection findings and decisions in the appropriate record.
